These Terms and Conditions apply to all quotations, registrations, bookings, invoices, training courses, workshops, seminars, examinations, assessments, and related services provided by ARACTECH.

1. Registration and Contract Formation
Course information published on the ARACTECH website is an invitation to register and does not by itself create a binding contract.
A binding agreement is formed when ARACTECH issues a written registration confirmation, accepts a purchase order in writing, receives full or agreed partial payment, or otherwise confirms acceptance in writing.
Unless another validity period is stated, quotations remain valid for 30 calendar days. An unpaid invoice or provisional registration does not reserve a place indefinitely.
ARACTECH may refuse a registration if the course is fully booked, the participant does not meet the prerequisites, payment or required information has not been received, compliance checks cannot be completed, or accepting the registration would create a legal, security, or operational risk.
2. Confirmed Course Dates
Course dates published on the official ARACTECH website are confirmed at the time of publication.
ARACTECH may make reasonable changes to the daily timetable, assigned trainer, order of topics, supporting materials, training room, venue within the same city or reasonable surrounding area, or the platform used for live-online training.
Such reasonable changes do not constitute a cancellation when the course objectives, duration, and overall delivery standard are maintained.
Registrations and payments submitted fewer than 14 calendar days before the course start date remain subject to operational availability.
3. Course Duration
Unless expressly stated otherwise, the standard course duration is:
- Five training days
- Five training hours per day
- 25 total training hours
4. Prices, VAT and Taxes
Published prices are final and non-negotiable unless an authorised group discount, promotional offer, or written quotation applies.
Unless expressly stated otherwise, published prices exclude VAT and any comparable taxes.
Where VAT applies, the approved discount is deducted first and VAT is calculated on the discounted subtotal.
Clients are responsible for taxes, withholding obligations, governmental charges, bank fees, and currency-conversion costs imposed in their country, except for taxes imposed directly on ARACTECH’s net income.
5. Group Discounts
Unless otherwise agreed in writing, the following discounts apply when participants register together for the same programme:
- Two participants: 20% discount
- Three or four participants: 35% discount
- Five or more participants: 50% discount
- All participants must attend the same programme, on the same dates, using the same delivery method, and must be included in the same group registration and invoice.
- Group discounts cannot be combined with other discounts or promotional offers unless approved in writing.
- If the number of participants is reduced after the discount has been granted, ARACTECH may recalculate the discount and issue an amended invoice.
6. Invoices and Payment Deadlines
Invoices must be paid within 30 calendar days from the invoice date or before the course start date, whichever occurs first.
If payment is not received by the applicable due date, the invoice and related provisional registration may be cancelled automatically.
When an unpaid invoice is automatically cancelled, no late-payment fee will be charged and neither party will have any further obligation arising from that unpaid invoice.
A participant’s place is considered fully confirmed only after the applicable registration requirements and payment conditions have been completed.
7. Payment Methods
Payment may be made by:
- Bank transfer using the details stated on the invoice
- Eligible debit or credit card through the secure payment page: https://aractech.com/payment
- The invoice number and participant’s full name must be included as the payment reference.
- Payment is considered received only when the complete invoiced amount has cleared in ARACTECH’s account.
- The payer is responsible for bank charges, intermediary-bank fees, card-processing fees, and foreign-exchange charges unless otherwise agreed in writing.
8. Participant Cancellation and Refunds
Cancellation requests must be submitted in writing to info@aractech.com.
The cancellation becomes effective on the date ARACTECH receives the written request.
Unless mandatory consumer law provides otherwise, the following refund policy applies:
- More than 45 calendar days before the course start date: 100% refund of the training fee paid
- Between 31 and 45 calendar days before the course start date: 50% refund of the training fee paid
- 30 calendar days or fewer before the course start date: no refund
- Refunds are normally returned to the original payer using the original payment method.
- Non-refundable bank charges, card-processing fees, currency-conversion costs, and third-party expenses may be deducted from the refund where legally permitted.
- Failure to attend, late arrival, partial attendance, or early departure does not entitle the participant or client to a refund.
9. Visa Refusal
A visa refusal does not automatically entitle the participant or client to a refund.
The standard cancellation deadlines remain applicable unless ARACTECH has agreed to a separate visa-refusal policy in writing.
ARACTECH may issue a course confirmation or invitation letter, but immigration and visa decisions are made exclusively by the relevant embassy, consulate, or immigration authority.
Participants should avoid making non-refundable travel or accommodation arrangements before obtaining the required visa and receiving final course confirmation.
10. Participant Substitution and Course Transfer
A client may request to replace one participant with another before the course begins.
Substitution is subject to:
- The replacement participant meeting the course prerequisites
- Completion of required identity and compliance checks
- Sufficient time to amend the course documents
- Payment of any reasonable administrative or third-party costs
- A registration cannot be transferred to another course, date, city, or delivery method without written approval from ARACTECH.
- An approved transfer may be subject to the price and Terms applicable to the replacement course.
11. Provider Cancellation or Material Change
ARACTECH will not cancel a confirmed course unless reasonably necessary due to circumstances such as force majeure, trainer illness or unavailability where no suitable replacement can be arranged, venue closure, governmental or security restrictions, or a serious technical failure affecting online delivery.
If ARACTECH cannot deliver the course as confirmed, it may offer:
- An alternative date
- An alternative location
- Live-online delivery
- Transfer to another suitable programme
- A credit valid for 12 months from the original course start date
- If ARACTECH cancels the course and no reasonable alternative is available or accepted, the client will receive a refund of the training fee actually paid for the affected course.
- Travel, accommodation, visa, insurance, and other third-party expenses are not refundable by ARACTECH.
12. Force Majeure
Neither party is responsible for failure or delay caused by circumstances beyond its reasonable control.
These circumstances may include war, terrorism, civil unrest, natural disasters, epidemics, pandemics, governmental restrictions, border closures, widespread transport disruption, utility failures, serious cyberattacks, or national emergencies.
Personal circumstances affecting only an individual participant do not normally qualify as force majeure.
13. Travel, Visa and Accommodation
Unless expressly included in a written quotation, participants are responsible for:
- Passports and visas
- Flights and local transportation
- Accommodation
- Travel and health insurance
- Meals and personal expenses
- Compliance with entry and immigration requirements
- ARACTECH is not responsible for visa refusals, border decisions, travel delays, or losses arising from travel arrangements made by the participant.
14. Participant Conduct
Participants must behave professionally, comply with safety and venue rules, respect trainers and other participants, and avoid disruptive, abusive, discriminatory, unlawful, or threatening behaviour.
ARACTECH may warn, suspend, or remove a participant for serious misconduct. Removal for misconduct does not entitle the participant or client to a refund.
15. Certificates, Assessments and Accreditation
A certificate of attendance or completion may be issued when the participant satisfies the applicable attendance, participation, assessment, and payment requirements.
An ARACTECH-issued certificate does not automatically constitute a professional licence, academic qualification, government approval, or third-party accreditation.
External examination, certification, membership, or accreditation fees are included only when expressly stated in writing.
16. Intellectual Property and Course Materials
All intellectual-property rights in course materials, presentations, recordings, templates, exercises, assessments, and supporting content remain with ARACTECH or the relevant rights holder.
Payment of the course fee grants the participant a limited, personal, non-transferable right to use the materials for personal learning.
Without prior written permission, participants may not:
- Copy or reproduce the materials
- Share them with third parties
- Publish or upload them online
- Sell, licence, or commercially exploit them
- Record training sessions
- Remove copyright or ownership notices
17. Privacy and GDPR
ARACTECH processes personal data in accordance with the General Data Protection Regulation, applicable Dutch law, and other relevant data-protection legislation.
Personal data may be processed for registration, invoicing, payment, course delivery, participant communication, attendance records, certificates, customer support, legal compliance, security, and quality improvement.
Data may be shared only where reasonably necessary with authorised trainers, venues, payment processors, banks, accountants, technology providers, couriers, accreditation bodies, or public authorities.
ARACTECH does not sell participants’ personal data.
Privacy requests may be submitted to privacy@aractech.com.
18. Photography and Recording
Participants may not record audio, video, screens, presentations, or course content without prior written permission.
ARACTECH will not use an identifiable participant’s image or recording for promotional purposes without an appropriate legal basis or consent where required.
19. Liability
To the extent permitted by law, ARACTECH is not liable for indirect or consequential losses, loss of profit or opportunity, travel or accommodation expenses, visa refusal, failure to obtain employment or promotion, or failures caused by third-party services outside its reasonable control.
For business clients, ARACTECH’s aggregate contractual liability is generally limited to the training fees actually paid for the affected course.
Nothing in the Terms excludes liability that cannot legally be excluded.
20. Complaints
Complaints should be submitted promptly to complaints@aractech.com.
The complaint should include:
- Participant’s name
- Course title and dates
- Invoice or registration number
- Clear description of the issue
- Requested resolution
- ARACTECH will acknowledge a complaint within five working days and aims to provide a substantive response within 15 working days.
21. Applicable Law
The Terms and any related contractual and non-contractual disputes are governed by the laws of the Netherlands, without limiting any mandatory protections provided by European Union consumer law.
Business disputes fall under the jurisdiction of the competent courts of the District Court of Noord-Holland, the Netherlands.
